Payroll Administrator
Job Summary: The payroll administrator is responsible for accurately processing and managing the various clients’ payrolls. This includes ensuring compliance with relevant laws and regulations. The payroll administrator will also handle inquiries from clients regarding payroll matters and maintain accurate payroll records.
Duties and Responsibilities:
- Process and administer clients’ payrolls accurately and on time.
- Process payments and deductions based on payroll inputs and other relevant documents from the clients.
- Ensure compliance with laws and regulations, including reporting.
- Verify and maintain accurate employee data, including personal information, tax details, and banking information.
- Prepare and distribute payroll reports to clients.
- Reconcile payroll JV accounts and resolve any discrepancies in a timely manner.
- Process new hires, terminations, and employee status changes in the payroll system.
- Stay up-to-date with changes in payroll laws and regulations to ensure compliance and advise management accordingly.
- Collaborate with the clients’ Human Resources departments to ensure accurate employee records and seamless integration between the HR and payroll administrator.
- Maintain confidentiality of payroll information including filing and ensure data security.
- Prepare/review and submit monthly Pay as You Earn, NAPSA, Value Added Tax and Withholding tax returns.
- Must be Conversant with ZRA online portal, eNAPSA, eNHIMA, Workers Compensation and other online platforms.
- Attend to tax account reconciliations for all tax types.
Qualification
- CA Zambia, ACCA, CIMA, Bachelor’s degree in Accounting or a Degree in Taxation
- Excellent knowledge of tax principles and law, tax audits, tax compliance and all types of tax returns.
- Must be a registered ZICA member.
- Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint and Word
- Ability to prioritize and meet deadlines in a fast-paced environment.
- Excellent attention to detail and accuracy.
- Proficiency in payroll software and systems (e.g., VIP Payroll, Micropay, Wages365).
- Proven experience as a payroll administrator or in a similar role of at least 3 years.
- Demonstrated ability to set goals and develop priorities to ensure that work is completed with a high degree of accuracy within the context of completing deadlines
- Good communication and interpersonal skills
