Job Purpose

Working under the supervision of the Assist the Records Manager, the document controller Intern will handle the intake, management, and storage of company’s documents. maintain and manage records within the the Company ensuring efficient storage, retrieval of filed documents, manage incoming and outgoing correspondence including operating of various equipment related to the registry functions. Assist the Records Manager to review, process, and file documentation as well as manage the smooth running of all documentation operations.

Summary of Key Responsibilities:

  • Ensuring all documentation meets formal requirements and required standards
  • Handling intake, scanning, verification, and storing documents.
  • Assist the Records Manager in filing and archiving relevant documentation.
  • Sorting, storing and retrieving electronic and hard copy documents on behalf of clients and industry professionals
  • Assist the Records Manager in producing document progress reports for senior managers
  • Work with the Records Manager in conducting regular reviews and document audits
  • Retrieving files for other employees and customers when needed.
  • Work with the Records Manager in designing templates for documents, file types, and document databases.
  • Work with the Records Manager in checking and editing documents for accuracy and compliance.
  • Controlling the flow of documents in and out of the department.
  • Work with the Records Manager in reporting errors or developments regarding document storage.
  • Updating and maintaining document management systems and physical records.
  • Maintaining the security of confidential documents.
  • Assisting employees with accessing documents through our document management system.

Primary Areas of Accountability:

Qualifications and Experience

  • Full Grade (12) School Certificate
  • Bachelors in Registry & Library Studies or related 
  • Must have a minimum of 1-2 years of practical experience in document management, archive management, or records management.
  • Proven ability to maintain confidentiality during performance of the assigned role/task
  • Knowledge of document management systems/ software will be a plus 
  • An excellent grasp of Microsoft Office programs.
  • Good typing and report writing skills.
