Job Summary:
We are seeking a dedicated Office Administrator / Accounts Assistant to provide both administrative and financial support. The ideal candidate should have over two years of experience in office administration and basic financial management, with a proven ability in record-keeping, invoicing, reconciliations, and general office coordination. This role is ideal for a self-motivated professional with strong organisational skills and a proactive attitude.
Key Responsibilities:
- Manage day-to-day office operations including procurement, filing, correspondence, and logistics.
- Maintain accurate and up-to-date financial records, including petty cash and bank reconciliations.
- Prepare and process invoices, receipts, and payments.
- Assist in budgeting, expenditure tracking, and financial reporting.
- Support monthly payroll preparation and statutory returns (NAPSA, ZRA, NHIMA).
- Coordinate meetings, travel arrangements, and procurement processes.
- Provide administrative support to project staff and senior management.
- Assist with audits by ensuring proper documentation is available and organised.
- Ensure office supplies and equipment are well managed and maintained.
- Uphold internal compliance standards and assist in developing administrative procedures.
Essential Qualifications:
- Diploma or degree in Accounting, Finance, Business Administration, or a related field.
- Recognised accounting certifications (e.g., ACCA, CIMA, ZICA) are an added advantage.
- Proficiency in bookkeeping and financial record-keeping.
- Working knowledge of accounting software (QuickBooks, Xero, or Sage).
- Strong organisational skills and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
Desirable Skills and Experience:
- At least two years of experience in an administrative or accounting role.
- Strong analytical skills and the ability to interpret financial data.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
- Ability to manage time effectively and meet deadlines.
Soft Skills:
- Strong problem-solving and critical-thinking skills.
- Collaborative and able to work effectively in a team environment.
- Adaptability in a dynamic, fast-paced work environment.
- High level of integrity and ability to handle confidential information with discretion.
