JOB TITLE: NIGHT SUPERVISOR
DEPARTMENT: FRONT OFFICE
REPORTS TO: FRONT OFFICE MANAGER
LOCATION: THE PAMODZI HOTEL
Job Purpose
The Night Supervisor heads the entire hotel team at night including front office, housekeeping, stewarding, kitchen and security. A focal responsibility of the Night Supervisor is the organization and control of the cleaning and maintenance work that needs to done on a regular basis. He serves as the first point of contact for the leadership committee members at night.
Key Responsibilities
Administration
- To conduct and/or contribute to regular Night shift communication meetings and ensure that briefings are effective and conducted as necessary
- To assign duties and responsibilities to subordinates and assisting the Personnel with their duties whenever needed
- To ensure an updated and completed Hotsos order list and follow-up on pending orders (once implemented)
Financial:
- To maximize employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests .
Operational
- Planning of cleaning and maintenance work (for example marble, carpet, AC grits etc.) for the hotel by means of checklists
- Writing a night report to the leadership committee and security following the template covering observations and incidents
- To ensure that all employees report for duty punctually, wearing the correct uniform and nametags at all times
- To ensure that all colleagues maintain a high standard of personal appearance and hygiene and adhere to the hotel and department’s grooming standards
- To ensure that all employees provide a friendly, courteous and professional service at all times
- To assist in the training of housekeeping night shift associated and making sure that they have the skills necessary to perform their duties in the most productive way
- To supervise the night shift associates in all department, making sure that the correct standards and methods of services are maintained as stated in the Departmental Operations Manual.
- To ensure that public areas are clean and up to standard
- To assign duties and responsibilities to subordinates and assisting the personnel with their duties whenever needed
Personnel
- To ensure that employees have a complete understanding of and adhere to employee rules and regulations.
- To ensure that employees follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.
Other Duties
- To attend training sessions and meetings as and when required.
- To read the hotel’s Employee Handbook and have an understanding of and adhere to the hotel’s rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
- To carry out any other reasonable duties and responsibilities as assigned
Required Skills & Competencies
- Strong leadership and supervisory skills.
- Excellent communication and interpersonal abilities.
- Problem-solving and decision-making under pressure.
- Knowledge of hotel management systems (PMS) and night audit procedures.
Ability to work independently and manage a team during off-peak hours
Qualifications
Academic Qualifications
- Minimum: Diploma in Hospitality Management or Hotel Operations.
- Preferred: Bachelor’s Degree in Hospitality Management, Tourism, or Business Administration.
Professional Qualifications
- Minimum 5 years of experience in front office or hotel operations, with at least 3 years in a supervisory role.
- Certification in Hotel Management Systems (e.g., Opera PMS) is an added advantage.
- Training in Customer Service Excellence and Emergency Response Procedures preferred.
- Experience with Five Star Hotels will be an added advantage
