Purchasing and Supplies Officer

Number of positions: One (1) Position

Reports to:Head of Operations

Duty Station: Lusaka

Main Job Purpose:

To undertake the procurement and supplies of goods, services and works to enhance the operations of the company.

Specific Duties and Requirements

 

 

● Developing and implementing procurement strategies to support all the company’s project requirements.

● Maintain accurately an up-to-date Database of Suppliers in order to establish a reliable supplier base

● Prepare and present purchasing acquisitions for approval

● Coordinating and managing the tender process, including issuing tenders, evaluating bids, and awarding supply contracts.

● Preparing, negotiating, and administering contracts with suppliers, vendors, and contractors.

● Identifying, evaluating, and managing suppliers to ensure quality, reliability, and performance.

● Issuing and managing purchase orders, ensuring timely delivery and compliance with specifications.

● Overseeing inventory levels, managing stockroom operations, and optimizing inventory turnover.

● Negotiating prices, managing costs, and ensuring compliance with budget constraints.

● Ensuring procured materials and services meet quality standards and project specifications.

● Identifying and mitigating risks associated with procurement, such as supply chain disruptions or contract non-compliance.

● Ensuring procurement activities comply with company policies, legal requirements, and regulatory frameworks.

● Collaborating with Project Managers, Quantity Surveyors, Foremen, Supervisors and other stakeholders to ensure procurement aligns with project needs.

● Providing procurement reports, analyzing data, and identifying opportunities for improvement.

Qualifications and Work Experience

a) Grade Twelve (12) School Certificate or equivalent

b) Bachelor’s Degree in Purchasing & Supply or its equivalent

c) Minimum of 3 years relevant post-qualification work experience

d) Competent use of, Google Docs, Microsoft Office 365 (esp., Excel and Outlook)

e) Paid up Member of the Zambia Institute of Purchasing & Supply, valid for 2025
